The Ultimate Moving Checklist for Employee Relocation Assistance

Check, check: as you coordinate an international move, are you sure that you have everything covered? If you're in the position of managing a move, you need to make sure that your employees feel as organized as possible so that they can settle in and get to work. A simple checklist can help employees make sure that they have everything they need to make their move run smoothly.

Get Documents Ready

Documents can take a long time to process, so get organized a few months in advance. What documents do you need to travel? Renew passports, get a visa if required, and find adoption certificates, marriage certificates, and medical records to make sure that your employees can all enter the country. Your employees should also organize the documents that they'll need while they're there, such as school records and drivers' licenses. Get paperwork such as a will and medical directives in order in case of emergency.


Help families organize themselves before a move.

Organize Objects

At least 2 months in advance of the move, your employees should get ready to organize their possessions. Contact international movers who can coordinate the movement of goods, and organize customs forms so that the move is as smooth as possible. Plan what will stay and what will go to storage.

Talk With Professionals

More than a month in advance, let people know about the move. Your employees should contact their doctor, dentist, vet, and other professionals. Get ready to transfer health records overseas so that new professionals can have them at the ready.

What kind of tax laws and income reporting requirements are there in the new location, and what do they need to do to fulfill US tax requirements as well? Set them up with an accountant or tax lawyer who can prepare them for the move.

As your employees let existing professionals know that they will be out of the country, they need to find similar professionals in their new area. From banking to the local pharmacy, they must make sure that they're ready to coordinate the logistics of everyday life.

Investigate Real Estate

It's hard to find a place to live when you're living far away. From renting an apartment to purchasing a home that's used by successive groups of employees, your company can help them shift to temporary or more permanent accommodations. Securing a location for your employees will help them organize the rest of their plans.

Get Ready at Home

A month or more before a move, your employees should be actively getting their home ready. Schedule insurance and utilities cancellations, start eating frozen food,  and look into storage options. If your employees need help coordinating their move, look into international movers who can help manage their household items.

Stay Healthy

How will your team stay healthy in their new country? If you have moved employees to this location before, provide those who are relocating with a list of qualified doctors, dentists, and pharmacies so that they can plan for their health care needs. Provide a list of required immunizations, and look into options to extend workplace health insurance or purchase new insurance.

Plan for Pets

Pets are an important part of the family. While your focus is on moving people, your employees will also want to bring their pets along. Research the immigration, immunization, and quarantine regulations for pets, and make sure that they get their shots early so that they can leave at the same time as all of the other family members.

Take Care of Other Family Members

A move is often triggered by one member of the family, but everyone needs to be part of the plan. Look into school and child care options at the new location, and investigate work opportunities for your employees' spouse.

Planning for a Culture Shift

What kind of training is available for your employees to help them understand the local culture? Does your company provide language immersion training that they can pursue before they go? If you don't provide internal training, look at the options available in the new location and set up training opportunities before your employees leave.

At the Last Minute

Some aspects of an international move happen in the last few weeks before your employees leave. This is the time that your company can really help. Give employees professional assistance with packing and cleaning their home before the move.
